Sector Challenges We Solve

What Makes Insurance Projects Different

Offices on Upper Floors, Signage Rules Set by the Landlord

Insurance branches and sales offices often sit on the first or fourth floor of a commercial building, where the street sign is a slot on the landlord’s directory or a panel the society must approve. IBS works to the building’s rules, prepares the drawings the landlord asks for, and puts the brand effort where the customer actually meets it: the lift lobby, the entrance and the service desk.

Product Posters Change Faster Than Branch Fittings

Product and campaign posters change every few months, while frames, lightboxes and wall panels last years. IBS designs the fixed elements to take swappable graphics, so a campaign change across hundreds of offices is a print-and-post job, not a refit.

Customer Information That Has to Stay Current

Insurers publish a grievance process, a Citizens’ Charter and the route to the Insurance Ombudsman, and some choose to show them in offices as well as in the policy document and on the website. When a contact or a step changes, every office display is out of date at once. IBS prints these from one versioned master and swaps them network-wide.

Frequently Asked Questions

Common Questions About Insurance Projects

What signage does an insurance branch office need?

An exterior name board or building directory panel within the landlord’s rules, lift lobby and entrance signage, a reception or brand wall, customer service area graphics, product and campaign displays, and customer information such as the grievance process. Green illuminated exit signs follow the National Building Code, and a state may require the name board in its own language.

Does IRDAI require insurers to display notices at branch offices?

We found no IRDAI rule prescribing a branch notice board. IRDAI’s Master Circular on Protection of Policyholders’ Interests, 2024 requires a Citizens’ Charter to be widely publicised, grievance and Insurance Ombudsman details in the policy document, and complaint facilities on the website. Some insurers go further and display their grievance process at branches under their own policyholder-protection policies.

Does an insurer’s registered name have to appear on its advertising?

Yes. IRDAI’s 2024 Master Circular on Protection of Policyholders’ Interests says insurance advertisements carry the insurer’s registered name and, for a product, its Unique Identification Number. Branch signage that promotes a specific product should be checked against that rule by the insurer’s compliance team before it is printed across the network.

How many insurance offices are there in India?

Insurers’ offices rose from 21,338 in March 2024 to 22,076 in March 2025, according to the Government of India’s Insurance for All backgrounder (PIB, April 2026). The same release puts insurance penetration at 3.7%, with 41.84 crore policies issued and ₹11.93 lakh crore in premiums in 2024-25.

Can IBS brand an insurance office on an upper floor of a commercial building?

Yes, and most insurance offices are like that. IBS works to the building’s signage rules for the street and directory panels, prepares the drawings a landlord or society asks for, and concentrates the brand where customers meet it: the lift lobby, the entrance, the reception wall and the service desk.

How does IBS handle product poster changes across hundreds of offices?

The fixed elements, such as frames, lightboxes and wall panels, are built to take swappable graphics. A campaign change is then a print-and-post job: IBS prints the new set, dispatches it by office, and each office sends back a photograph of the new display in place.

What is an insurance advisor or agency office board?

It is a name board for an advisor’s or agent’s own office carrying the insurer’s brand to the insurer’s specification. Where an insurer supplies boards to its agency network, IBS can produce them in bulk to one approved design, with the advisor’s details printed per board, and dispatch them to each address.

What goes into the customer service area of an insurance branch?

Service desk and counter branding, queue and token display positions, a document and claim checklist panel, the grievance process display, seating area graphics and an accessible counter. IBS plans these with the office layout so displays sit where customers actually wait.

Do insurance offices need signage in regional languages?

No IRDAI branch-language rule turned up in our research. State law can still apply: in Maharashtra, the Shops and Establishments Act requires an establishment’s name board in Marathi, written first and no smaller than any other script. IBS produces language variants from one master file for each state in a rollout.

Which insurers has IBS worked with?

IBS has delivered branch signage and graphics for HDFC Life, using its own signage manufacturing and installation teams. IBS is also an approved vendor with HDFC ERGO. Its wider BFSI work includes branch signage and in-branch branding for IDFC FIRST Bank across India. Reference details are shared on request.

Can IBS fit out a new insurance branch office?

Yes. Partitions, false ceiling, flooring, electrical and data, furniture from the Vasai East factory, and branding and signage are delivered under one contract with one IBS project manager, so the office opens branded rather than being branded after handover. Signage fixings and power points are designed into the partitions instead of drilled in later.

How does IBS keep branding consistent across an insurer’s offices?

One approved kit per office type, production at the Mumbai facility against one physical colour swatch, named LED and driver components so replacements match, and as-installed photographs from every office in the closeout pack. Head office can check office 200 against office 1 without travelling to either.

What fire and exit signage does an insurance office need?

The National Building Code 2016, Part 4 requires green exit signs, illuminated and wired to an independent circuit with an alternative supply, placed so no point on an exit route is more than 30 m from a visible exit sign, with a sign at every change of direction. The building’s own fire plan may add to this.

Can IBS brand insurance displays inside partner bank branches?

Yes. Bancassurance displays inside a bank branch have to satisfy two brand manuals, and RBI’s 2025 conduct directions say a bank’s mandatory notices take priority over promotional boards. IBS places insurer displays around the bank’s statutory boards, not over them, and gets both brands to sign off the layout.

How does IBS work with an insurer’s procurement team?

Through vendor registration, a rate contract or tender, and purchase orders per office or per batch. IBS issues line-item BOQs and GST-compliant invoices and supplies the documentation institutional procurement expects, so a regional office and head office see the same numbers for the same scope.

What warranty does IBS give on insurance office signage?

Signage workmanship is warranted for 12 to 24 months depending on the product, with manufacturer warranty passed through on named LED modules and power supplies. The warranty certificate and electrical test records are handed over at installation, and a named IBS contact covers the warranty period.

What does insurance office branding involve?

Making branch offices, sales offices and advisor offices read as one company, often from an upper floor of a building with its own signage rules. That means name and directory boards within landlord limits, a reception and service area branded to the manual, swappable product displays, and customer information such as the grievance process. IBS produces and installs all of it.

What is a Citizens’ Charter for an insurer?

A published statement of the service standards and grievance routes an insurer commits to. IRDAI’s 2024 Master Circular on Protection of Policyholders’ Interests requires insurers to publicise it widely; where it is displayed, a branch is one of the places customers see it.

What is bancassurance branding?

Insurer displays placed inside a partner bank’s branches. They must follow both brand manuals, and RBI’s 2025 conduct directions say the bank’s mandatory notices take priority over promotional boards, so insurer material is laid out around the bank’s statutory displays.

Scope

What goes into an insurance office signage package

The same scope applies to branch offices, sales offices and advisor offices, at different sizes.

  • Name board or building directory panel within landlord rules
  • Lift lobby and floor entrance signage
  • Glass manifestation and frosted film on office glazing
  • State-language name board where state law requires it

Reception and service area

  • Reception brand wall with lit or non-lit lettering
  • Service desk and counter branding, queue and token display positions
  • Grievance process and Citizens’ Charter display where the insurer chooses to show them
  • Claim and document checklist panels

Product and campaign

  • Frames and lightboxes built for swappable graphics
  • Campaign changes run as a print-and-post job across offices
  • Registered name and product UIN on product advertising, per IRDAI
  • Bancassurance displays inside partner bank branches

Agency network

  • Advisor and agency office boards to one approved design
  • Advisor details printed per board, dispatched per address
  • Reorders from the same master, so boards match across years

Rollout

How IBS runs an insurance office programme

Insurance networks change shape often: offices move, merge and open. The kit has to travel with them.

How a network rollout runs

  • Branch survey: fascia size, power point, landlord and municipal rules
  • Artwork adapted from the brand manual and signed off per branch type
  • Batch production at the Mumbai facility against one physical colour swatch
  • Dispatch with installation drawings; IBS crews install after business hours
  • As-installed photographs of every location in the closeout pack
  • Statutory panels kept as one versioned master for later reprints

How branch signage is specified

  • Fascia on aluminium composite panel over a powder-coated frame, fixed after a structural check
  • Lit letters with acrylic faces, LED modules and named SMPS drivers, rated IP65 outdoors
  • Lightbox and notice board faces on diffuser-grade acrylic for even light and readable text
  • Supply through MCB and RCCB protection, earthing to IS 3043, cabling in conduit
  • Interior graphics on cast film or laminated media; lamination on high-touch counter panels
  • A signage schedule and shop drawings per branch type, signed off before production

What IBS brings regardless of sector

  • Signage fabricated at the IBS Mumbai facility: laser cutting, powder coating, assembly, QC
  • Furniture built at the Vasai East factory to as-built dimensions
  • In-house civil engineers, MEP coordinators, false ceiling and joinery teams
  • Built to NBC 2016, IS 3043 (earthing) and IS 732 (electrical installation)
  • Factory QC on every unit before dispatch, so defects surface in Mumbai not on site
  • Pan-India delivery plus UAE, Saudi Arabia, Oman, Qatar and Kuwait

What you receive at handover

  • Joint snag walk, snags listed, dated, closed and photographically evidenced
  • As-built drawings plus commissioning and test records for HVAC, electrical and fire
  • Warranty certificates with manufacturer pass-throughs collated in one file
  • Signage workmanship warranted 12 to 24 months; fit-outs carry a stated defect liability period
  • A named IBS contact for that period, holding the original drawings and spares

Commercials

How the work is priced, specified and verified

The parts of a quotation that decide whether the number you compare is the number you pay, and the named components behind the specification.

How a price is built

  • A line-item BOQ against a stated scope, not a rate per square foot
  • Component brands named on the BOQ rather than written as a generic line
  • Provisional sums identified as provisional, not folded into a rate
  • Written assumptions, so you can see which one moved if the number changes
  • Variations agreed in writing against the original BOQ before work proceeds
  • RA bills raised against measured work completed, not elapsed calendar time

Named components we specify

  • LED and drivers: Nichia-class modules with Mean Well or Schneider drivers, IP65 outdoors
  • Films and wraps: 3M and Avery Dennison cast media
  • Electrical: Havells, Legrand and Schneider switchgear, MCB and RCCB protection
  • HVAC: Daikin, Blue Star and Voltas VRF and ducted systems
  • Plumbing: Astral and Supreme CPVC and UPVC, Jaquar fixtures
  • Boards and laminates: Gyproc and Saint-Gobain partitions, Merino and Greenlam surfaces

What to check in any quotation, ours included

  • Is the driver brand named, or does the line just say "LED driver"? That is the component that fails first and the one most often substituted downward.
  • Is the defect liability period stated in months, and does it start at handover or at practical completion?
  • Does the price assume access you actually have, and what happens to it if the access window changes?
  • Who is the named project lead, and how many other jobs are they running at the same time?
  • Are spares held against your specification, or bought nearest-match when something fails?
  • On a multi-site programme, how will you be shown that site 140 matches site 1 without visiting both?

How quality is verified

  • Colour proofed against one approved physical swatch under controlled lighting
  • Factory QC on every unit before dispatch from the Mumbai facility
  • Hydrotesting on plumbing and pressure tests on sprinkler lines before concealment
  • Earthing verified to IS 3043; electrical installation to IS 732
  • Snag list walked jointly, closed and re-inspected with photographic evidence
  • As-built photographs of every installed location on a multi-site programme
